Saving Your iPad Data

Introduction

To save your data off of the school iPad, you will want to make sure it is stored on a cloud service such as iCloud, DropBox, or Google. Your school iPad already has an AppleID associated with it, so iCloud is generally the easiest service to use. Select from the school apps below for instructions on uploading to a cloud service.

Pages, Numbers, Keynote

You will need to follow these instructions for each application: Pages, Numbers, and Keynote. These Apple apps can save their data to iCloud.

To Upload Your Data:

  1. Tap the Settings app on your iPad
  2. Scroll down the list until you see the app (Pages, Numbers, or Keynote)
  3. Tap on the app you want to check
  4. Make sure the Use iCloud switch is turned on
  5. Open each app (Pages, Numbers, and Keynote) on your iPad and wait for your documents to upload

Once your documents are uploaded to iCloud, you can download them anytime

To Download Your Data:

  1. Go to icloud.com on a computer
  2. Log in with your AppleID
  3. Select an app (Pages, Numbers, or Keynote) to see your documents
  4. Click on a document you want to download
  5. Click on the Gear icon in the toolbar and select the Download a Copy... option

PDF Expert

PDF Expert can save its data to a number of online services, including iCloud, DropBox, and Google. These instructions outline uploading your documents to iCloud.


To Upload Your Data:

  1. Open PDF Expert on your iPad
  2. Drag any files or folders you want to save to the iCloud entry on the left panel


Once your documents are uploaded to iCloud, you can download them anytime


To Download Your Data:

  1. Go to icloud.com on a computer
  2. Log in with your AppleID
  3. Click on the iCloud Drive icon
  4. Double-Click on the PDF Expert folder to open it
  5. Click on a document you want to download
  6. Click on the download icon in the toolbar to download the file

Notability

Notability stores its notes in a proprietary format. You can purchase your own copy of Notability to access and continue to use your Notability documents. Alternatively, you can export your documents to the PDF format, but once your notes have been saved as PDFs, you will not be able to edit them.

To Sync Your Data to iCloud for Use on Your Copy of Notability:

  1. Open Notability on your iPad
  2. Tap Notability's Settings gear icon in the lower left corner of the screen
  3. Tap the iCloud option in the panel on the left of Notability's Settings window
  4. Make sure the iCloud switch is turned on
  5. If this is the first time you enabled iCloud, make sure all of your documents have finished uploading
  6. Repeat steps 1-4 on your personal device using your own copy of Notability, and your documents will sync down


To Export Your Data to PDF:

  1. Tap the Share icon in the upper left corner of Notability
  2. Tap on the documents you want to export to PDF
  3. Tap the Share icon again to display the Destination window
  4. Tap on the destination you want to use: Email, DropBox, Google, etc
  5. Tap the Send to Google, Send to Dropbox, or Email Note button as appropriate

Photos

There are many options for saving photos from your iPad, depending upon your needs. This document will outline some of the more common options.

To Upload Your Photos to iCloud:

  1. Tap the Settings app on your iPad
  2. Scroll down the list and tap on the Photos & Camera option
  3. Make sure the iCloud Photo Library and Upload to My Photo Stream options are turned on
  4. Open the Photos app on your iPad and wait for your photos to upload. The bottom of the Photos page will indicate if any photos are uploading.

To Download Your Photos from iCloud:

  1. Go to icloud.com on a computer
  2. Log in with your AppleID
  3. Select the Photos app (Pages, Numbers, or Keynote) to see your photos
  4. Click on the Select Photos option from the top toolbar
  5. Click on the photos you want to download
  6. Click on Download button from the toolbar to download your photos

If you don't have enough space on your iCloud account to save all of your photos, you can purchase additional storage space, or export your photos to Google Drive or e-mail them to yourself.

iMovie

iMovie stores its projects in a proprietary format. You can purchase your own copy of  iMovie to access and continue to use your projects. Alternatively, you can export your projects to video, but once your projects have been exported, you will not be able to edit them. This document will illustrate exporting a project to iCloud.

To Export Your Data:

1. Open an iMovie project
2. Tap the Share icon at the bottom of the screen
3. Select an option from the Share Sheet, such as iCloud Drive
4a. Choose the iMovie Project option if you want to edit your movie in your own personal copy of iMovie.
4b. Chose the Video File option if you simply want to save your completed movie.

To Download Your Data:

  1. Go to icloud.com on a computer
  2. Log in with your AppleID
  3. Click on iCloud Drive
  4. Double-Click on the iMovie folder to open it
  5. Find the file you want to download
  6. Click on the file you want to download to select it
  7. Click on the Download icon in the toolbar and to download the file

GarageBand

GarageBand stores its projects in a proprietary format. You can purchase your own copy of  GarageBand to access and continue to use your projects. Alternatively, you can export your projects as song files, but once your projects have been exported, you will not be able to edit them. This document will illustrate exporting a project to iCloud.

To Export Your Data:

1. Open an GarageBand on your iPad
2. Tap the Select button in the upper right corner of the screen
3. Tap the song you want to export
4. Tap the Share icon at the top left of the screen
5. Select an option from the Share Sheet, such as iCloud Drive
6a. Choose the GarageBand Project option if you want to edit your movie in your own personal copy of GarageBand
6b. Chose the Audio File option if you simply want to save your completed song

To Download Your Data:

  1. Go to icloud.com on a computer
  2. Log in with your AppleID
  3. Click on iCloud Drive
  4. Find the file you saved in your iCloud Drive and click on it to select it
  5. Click on the Download icon in the toolbar and to download the file

Explain Everything

Explain Everything stores its projects in a proprietary format. You can purchase your own copy of Explain Everything to access and continue to use your projects. Alternatively, you can export your projects to video, PDF, or image formats, but once your projects have been exported, you will not be able to edit them.

To Export Your Data:

  1. Tap the Share icon in the upper left corner of Explain Everything
  2. Tap on the documents you want to export
  3. Select a format (Video, PDF, Image, or Project) by tapping an option at the top
  4. Tap the destination you want to use, such as DropBox, Google, Mail, etc

Other Apps and Tips

Generally speaking most apps have several ways of exporting data.

Many use online storage services such as iCloud, DropBox, Google Drive, etc, and many of these online storage services have free options.

Also most applications also provide for a mechanism to e-mail documents, so you can always e-mail a document to yourself.

Search your application for instructions on how to export or e-mail data. You can also search Google for instructions on how to export data from other applications.
